Business/Office Manager/Bookkeeper

Chicopee Industrial Contractors is an industrial construction specializing in supplying rigging and machinery moving services.  We are looking for a uniquely skilled individual to job our team.

Working under the direction of the President, who encourages independent thinking and a work environment of empowerment, and in cooperation with the Operations Manager and the Project Manager/Estimator on the maintenance of a computerized accounting system, cash flow management, month end   Monthly P & L and   Balance Sheets, in a timely fashion. 
Accounting:  Responsible for the Account Receivable, Accounts payable and Job Costing functions of the company from payroll, thru job cost, to invoicing to collections.   Responsible for reporting and filing sales tax for MA and CT.   Duties also include processing certified payroll, when required, processing DCAM payroll and invoices and trucking administration. 
Responsible for monthly close within appropriate timing.  Work with an outside accountant on year end close and tax filings.
Works with the President on the benefits package to assure compliance and keeping the package competitive in the marketplace.
Administratively:  Works in a small office setting where are staff works cooperatively and collaboratively as a team including answering phones, taking messages.  Working  in cooperation with the Operations Manager  and Project manager/Estimator assisting with administrative support, procurement, contracts and answering phones.
This is a small office environment, and all roles are key position within the structure of Chicopee Industrial Contractors.  In the office and in the field, we work as a team and each member is valued.  Cross training, working collaboratively and in cooperation is a given and a must. 
Examples of duties:
Responsible for the accounts receivable and accounts payable functions, from the hourly payroll to job costing to the generation of billings and the collections of receivables. Understanding of AIA invoicing.   Provides reports to the President on the status of all accounts.
Processing a weekly payroll including Certified Payroll and the rules and regulations on Prevailing Wage Projects. 
Understands and is experienced in the DOT process of tractor trailers and trucking, including trip reports, taxes, filings, IFTA
In a small office environment, the phone can and is a lifeline.  All team members are expected to answer the phone and to provide above average customer service.  
Management of files and a filing system – both electronically and paper files. 
Works in an office space with the Operations Manager and Office Manager providing data as required. 
Provides reports, as needed including, daily payroll report, job costing, and profit and loss statements.
Prepares necessary reports and charts for banking and insurance needs.
Works in cooperation with other employees as a team member.  Cross training and understanding other job responsibilities.
Other duties as requested 
Reports directly to the President who encourages and expects working without daily direct supervision. 
  • A four-year undergraduate degree in accounting, or 8 – 10 years’ experience with a Strong technical bookkeeping background that includes Job Costing and reporting.  A background in Safety Management a plus
  • At least five years general ledger accounting experience is required, with experience in job costing.
  • Experience working in a small company construction company a plus
  • Ability to work in an office environment where skills and area of responsibility overlap, and cross training is necessary
  • Proven experience in office management practices
  • Desire to work a part of a team
  • A thorough knowledge of federal and state laws governing payroll and taxes.
  • Knowledge of personal computers and their application - understanding of the following software programs.  Our company uses Computer Ease, MS Office Word, Excel, and Outlook (Eway)  Contacts.  
  • The ability to set priorities and change midstream if necessary.
  • The desire to work in a hectic environment where the customer’s needs and requirements are the first priority.

Fulltime, benefited position including health insurance –shared expenses (70 % company paid) short term/long term disability, $50,000 life insurance (company paid), 2 weeks paid vacation, paid holiday, 401K program, profit sharing.  See Personnel Manual for timing of all benefits.  Probationary period for all benefits.
Daily work schedule 8am – 4:30pm – M-F – some Saturday work during peak periods.  This is an Exempt Position that is paid salary.   This position does not have hiring and or firing authority. 
Pre-employment physical, drug testing and background checks including credit checks.  Chicopee Industrial Contractors operates under Department of Transportation Rules.
Physical requirements – ability to climb stairs and lift up to 20 pounds in files.  Ability to walk unassisted.
A valid driver’s license.  CIC is not on a public transportation route.  Must have reliable transportation. 
Great attendance is expected and required.  This position is needed to work in the office environment – working remotely or offsite is not a possibility. 
Smoking is highly discouraged but in case of a smoker working at CIC – smoking breaks are limited to no more than one 5 minutes break every 3 hours outside the building.
